Microsoft 365 has introduced a thoughtful and inclusive feature called Name Pronunciation, now available in Microsoft Entra ID (formerly Azure Active Directory). This allows users to record how their name is pronounced and add a phonetic spelling, making it easier for colleagues to address each other correctly—especially in global, diverse workplaces.
Key Features:
Voice Recording: Users can record up to 10 seconds of audio pronouncing their own name.
Phonetic Spelling: Optionally, users can add a written pronunciation guide (e.g., “Ma-ree-ah”).
Profile Integration: This information appears on the user's Microsoft 365 profile card, visible in tools like Outlook, Teams, and Entra ID (formerly Azure AD).
Where Is This Feature Used?
Once enabled and filled in, the pronunciation becomes visible in:
Outlook: When hovering over a user’s contact card
Microsoft Teams: In profile panels during meetings or chats
Microsoft 365 People Cards: Anywhere directory/contact info appears.
How to Enable & Use Name Pronunciation:
For Users:
- Sign in to your Microsoft 365 account.
- Go to My Account > Your Info (https://myaccount.microsoft.com).
- Click Name Pronunciation.
- Record your name or type the phonetic spelling.
- Save changes — it will now be visible on your profile across supported Microsoft 365 services.
For Admins (Microsoft Entra ID):
- Go to Microsoft Entra Admin Center (https://entra.microsoft.com).
- Navigate to Users > Select a user.
- Under “Name Pronunciation,” you can:
- Enable/disable the feature.
- Set policies or allow self-editing.
Optionally, use Graph API or PowerShell for bulk management.
Privacy & Security:
Audio clips and data are stored securely in Microsoft 365 cloud.
Users can choose whether or not to enable this feature.
Admins can manage organization-wide settings and visibility.
As of 2025, this feature is in gradual rollout, expected to be widely available across Outlook, Teams, and Contact Cards by late Q3 2025.
The Name Pronunciation feature is a small but powerful step toward a more inclusive and respectful workplace. Whether you're onboarding new employees, working in international teams, or just want to avoid name mispronunciations, this feature is worth enabling.
